How the pilot runs

One department. Your agencies. Our team runs them.

Special education paraprofessionals is a good first scope; related services, daily substitutes, and school nursing work just as well. At a single-campus charter school one role category may be your whole agency spend, and that is a complete pilot too. Run by a team that staffs schools every day.

What your district does

  • Picks the scope, one department or role category with openings expected in the window, and names one contact who can approve candidates and timesheets.
  • Shares the agencies you use for that scope, and your requirements for a compliant start: credentials, clearances, onboarding steps.
  • Approves or declines every candidate and every start date, exactly as you do now. You keep every agency you trust and every hiring decision.

What our team does

  • Brings your current agencies into the program for that scope: the outreach, the setup, the follow-up. Your staff work with one contact instead of chasing several vendors.
  • Releases each opening to every approved agency at once, then chases the submissions, the interview times, and the no-shows. The chasing is ours.
  • Holds every start date until your office has approved the file. Nobody starts in a building on a document that is missing, expired, or still awaiting review.
  • Runs timesheets, approvals, and status updates through the platform, so your contact sees where every opening stands without a phone call.
  • Sets your baseline in week one and hands you the before-and-after report at close.

Baseline and setup

We record how the department is staffed today, load your roles, ceilings, and required documents, and onboard the agencies you already use.

Week 2

First opening released

Your first need goes to every approved agency at the same recorded time. We chase the submissions; your office approves the first file.

Weeks 3 to 8

The program runs

Openings, approvals, hours, and one invoice per period. Your contact sees where every seat stands without a phone call.

Week 9

Your numbers, side by side

A before-and-after report built from your own record: fill times, files cleared, staff hours back. Continue, expand, or stop.

What we measure

Your fill numbers are the verdict.

We set a baseline from your recent openings in week one, then report the same four measures at close. The numbers come from the program record, not from recollection: every release, submission, approval, and status change carries a timestamp.

The pilot replaces no one. It puts one team in front of the agencies you already use, for one department, for one window. When it ends, the decision is yours and the report is yours.

No software fee, no per-seat fee, no implementation charge, no purchase order. The program is funded by the agencies that participate in it, and that does not change when the pilot ends.

Your choice at close. Extend the same scope, add a department, or stop. Your agencies keep their agreements with you, your process stays your process, and nothing has to be undone.

Every opening, submission, approval, and approved timesheet from the pilot, summarized against your week-one baseline and handed to you, whether you continue or not.

Common questions

Does this replace our current agencies?

No — retention is the design. Your approved agencies keep supplying the same people under their own brands and rates; what changes is the shared workflow and record. Districts can introduce agencies they already trust.

What does it cost the district?

Nothing — no software fee, no licences, no implementation charge, and no purchase order to raise. The program is funded by the agencies that participate in it. The order is what matters: your schools approve the hours, your district pays one consolidated invoice at the bill rates your own office approved, we remit each agency its share out of that payment, and the participation fee is deducted from the agency’s remittance. It happens on the agency’s side of the line and only after your payment has been collected, so nothing the program earns is ever added to a rate your district approved or taken out of district funds.

Do we have to replace our ERP or payroll?

No. Fullbench runs the staffing loop — the request, the candidates, the credential file, the hours and the invoice — alongside the systems you already have. Nothing to install, nothing to migrate, and your program record exports in full whenever you ask.
